Scheduler/Traffic Coordinator (Design Agency)

To support the next phase of growth at ChaseDesign, we are seeking a candidate for the position of Scheduler/Traffic Coordinator (Design Agency). Reporting to the Manager, Resource Allocation, you will provide support in managing time and schedules for employees in support of project work, a function critical within the studio. Track project progression to ensure deliverables are completed on time, consulting/communicating with leadership teams to adjust as needed to stay on track. You are the “go-between” who connects Project leaders to other departments within the firm that provide project deliverables.

The Role:

Communicate with Project Owners to Determine Deliverables

  • Track email communication
  • Review and approve Project Initiation Forms
  • Participate in project meetings as needed
  • Participate in key planning and scheduling meetings, i.e., Daily Morning Meeting (Tuesdays-Fridays), Status Meeting (Mondays), Team scheduling meetings (Multimedia, Strategy, 10Red)
  • Run planning meetings if Manager, Resource Allocation is unavailable

Communicate with Internal Project Resources to track status of Deliverables

  • Track email communication
  • Check in with team members regularly to make sure deadlines will be met
  • Provide support in assigning tasks and check the status of outstanding tasks

Provide Team Support

  • Determine if revisions to resource plan for project are required to meet project objectives/goals
  • Provide input as to best resource to provide support on project requests
  • Should issues arise, bring to the attention of the project leaders and Manager, Resource Allocation to collaborate on issue resolution

Provide support/input to Manager, Resource Allocation

  • Help update key scheduling tools, i.e., Resource Needs Document, Designers Schedule, Individual Schedules

What you need to bring:

  • Bachelor’s degree in Business Administration/Management, Communications, Advertising or other related discipline
  • Minimum 1-3 years’ experience required in a related field
  • Intermediate to Expert level skills using Microsoft Excel, Word, Microsoft Office Tools
  • Agency/Design Firm experience a plus
  • Project Management experience/training a plus

  • Strong organizational and planning skills
  • Excellent attention to detail
  • Proficiency in Microsoft Office
  • Strong Interpersonal Skills
  • Excellent professional written and verbal communication skills

Account Manager (Client Interface)

Working with the world’s leading brands, and in collaboration with designers, copywriters, strategists and implementers, you will be responsible for managing the client relationship for a wide range of retail design projects to include category design, experiential activities, and in-store and digital communications.
